Rules for consultation
The photo archive is situated in Rome, 5 Via Lepanto. Easily accessible with the local public transports (underground line A – stop “Lepanto”). It is opened from Monday to Thursday, from 8.30am to 1.30pm and on Friday from 8.30am to 11.30am. It is closed in August
RESERVATION FOR CONSULTATION
The consultation can be requested by post or fax (06 47358146) or e-mail
, indicating the subject of the research and the type of materials required.
Foreign citizens who want to access the Historical Archive must submit an application through the Military Attaché of the Diplomatic Mission of their Country in Italy, attaching a copy of a valid photo ID and indicating the research topic and the required period of the visit, in order to obtain the necessary authorization to enter the military infrastructure.
When the applicant arrives at the Office, he/she must fill in and sign the admission card. That card must indicate personal details, subject, aims of the research and all those relevant information that help to identify the iconographic materials of interest.
Only one user at a time is admitted to the photo archive room; any other accompanying person must be authorized in advance.
The users, signing the application, agree to the processing of personal data and undertake to comply with the Ethic Code regarding the processing of personal data for historical purposes.
PHOTOGRAPHIC MATERIAL, VIEWING AND REPRODUCTION
The iconographic material available for reproduction and sale to the public is only that regarding the First and the Second World War. In order to preserve the historical documents the original material (negatives, positives, …) cannot be viewed. The images that have not already been digitalized cannot be copied for sale to the public.
To reproduce the iconographic material an application form must be filled in by the applicant in advance.
REPRODUCTION SERVICE: COSTS AND DELIVERY METHODS
The copy service is carried out by the Historical Office personnel. The copies of iconographic images on a file (in color or black and white) can be purchased at 6 Euros each (VAT included), in accordance with the fees set by the Army General Staff (art. 108 Legislative Decree 22nd January 2004, n.42).
The payment can be made by debit or credit card if the selection and purchase of the images take place at the office. Cash is not accepted.
The payment can be also made by:
postal current account n. 1007604034 payable to Difesa Servizi S.p.A. – 4, Viale dell'Università 00185 Rome;
bank transfer payable to Difesa Servizi S.p.A. IBAN code IT34Z07601 03200 001007604034;
international transfer for people who live abroad, payable to Difesa Servizi S.p.A. – BIC/SWIFT: BPPIITRRXXX with clause "commissions paid by the payer".
A copy of the payment receipt must be sent to the Historical Office by e-mail
or fax n. 0647358146.
Once the payment is settled, delivery will be made in accordance with the following procedures:
collection by the user. The photos will be transferred on a USB supplied by the said user;
e-mail, providing the address.
APPLICATION FOR AUTHORIZATION TO PUBLISH AND USE OF ICONOGRAPHIC MATERIAL
The iconographic images requested to the Historical Office for personal use or for study cannot be copied, used for profit or distributed. To publish or use the iconographic images of the Archive, the user must submit to the Chief of the Historical Office a request for authorization (to be filled in during the visit, with a tax stamp of 16 Euros attached), indicating:
reference number, title of the work and use to be made of the reproductions (exhibitions, publishing, internet, etc)
the purpose (commercial, educational, no profit)
Once the authorization is granted, the user is requested to identify, in the publication, the Photo Archive of the Historical Office of the Army General Staff as the owner of the iconographic material and the reference number, as well as the details of the authorization (registration number and date).
Moreover the user must provide the Historical Office of the Army General Staff with three copies of his/her work in which the reproduction has been included (one copy in case of Ph.D. thesis or graduate thesis.
The authorization to publish is limited to only one Country and valid only for the first edition; for further uses a specific authorization is necessary.
The user must pay the publishing rights for the commercial use of the iconographic material copies owned by the Historical Office of the Army General Staff (according to Ministerial Order 8th April of the Ministry of Cultural Heritage and Activities and Tourism) in case of:
printed publication with circulation over 2000 copies or with a price above 77.47 Euros;
publication on CD ROM or DVD;
publications on websites;
use for TV and cinema.
In case the purchased images are used for different purposes other than those originally indicated, the Historical Office will assess on a case-by-case basis any price difference to be paid.
For printed publications with circulation less than 2000 copies and a price lower than 77.47 Euros, the user is exempted from payment of the reproduction rights. In such a case the user shall state this in the application form
Public entities are exempted from the payment of the reproduction rights if the publication enhances the value of the documents and in accordance with the agreements made with the Historical Office.
